Privacy Policy

Last updated: October 19, 2026

Effective date: September 18, 2026

This Privacy Policy explains what information BubbleLink ("BubbleLink," "we," "us," or "our") collects when you use our application and related services (the "Service"), how we use it, and the choices you have. By creating an account or using the Service, you agree to this Policy.

Privacy at a glance

We collect your account info, your contacts and notes, meeting recordings and transcripts, calendar and tasks, purchase status, and usage analytics. We don't sell your data or use it for ads, and we don't use your content to train AI models. You can export or delete your data anytime. When your account is deleted, your data is permanently deleted from BubbleLink and can no longer be accessed or recovered through the app. Uploaded files such as recordings and photos are removed from your account and are no longer accessible through BubbleLink, but copies may remain in our hosting provider's storage systems or backups.

  • Usage counts for AI features (used to apply fair-use limits) and records of important account actions, such as data exports and account deletion, kept for security and troubleshooting.

Used to maintain security, improve performance, and understand app usage.

2. How We Use Your Information

  • Provide CRM and relationship-management features
  • Personalize your experience and improve recommendations
  • Support integrations you choose to connect
  • Maintain account security
  • Process billing and subscriptions
  • Improve app performance
  • Communicate essential updates
  • Generate meeting summaries and insights from recordings you make
  • Run daily job searches on your behalf for the companies you choose to watch, to surface new openings that match your saved roles and location

3. How We Use AI

BubbleLink uses AI to provide several features, including:

  • Meeting transcription and summaries
  • Message drafts
  • Your personal assistant
  • Company research
  • Opportunity suggestions
  • Job alerts: periodic searches for new openings at the companies you choose to watch (daily on Elite, twice a week on Pro)
  • Connection strength scores

Your content is sent to our AI providers only to generate results for you. Your assistant is personalized with your own BubbleLink data, only for you. We do not use your content to train AI models. AI output can be inaccurate, and connection strength scores are automated estimates, not facts.

When you add a photo of a contact, BubbleLink may automatically detect where a face appears in the image so it can crop a profile picture. This only locates the face; we do not use facial recognition, create faceprints or other biometric identifiers, or try to identify who is in the photo.

4. Emails We May Send

  • Account creation, verification, password reset, and security alerts
  • Subscription updates, invoices, and billing notifications
  • Product updates and feature announcements
  • Reminders or follow-ups you configure inside the app

You may opt out of non-essential emails (like product updates) at any time. Security and billing emails cannot be disabled, as they're necessary to operate your account.

5. Integrations (Only With Your Permission)

  • Gmail — Send email on your behalf; log sent messages as interactions
  • Google Contacts — Import contact information during a import you initiate
  • LinkedIn — Publish posts on your behalf
  • Facebook Pages / Instagram — Publish posts on your behalf, only if you connect them

BubbleLink's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to train generalized AI or machine learning models.

BubbleLink only accesses these services after you explicitly connect them, and only performs actions you initiate. We do not access data you have not authorized.

6. Device Permissions

  • Microphone — for meeting recording and voice input
  • Location — only when you enter an address, which is then geocoded to coordinates. BubbleLink does not track your GPS location in the background.

7. Data Sharing & Disclosure

BubbleLink does not sell your data. We share data with the following third-party service providers, each under its own privacy policy:

  • Stripe — processes billing and subscriptions. Receives your email, payment method, and transaction details. BubbleLink does not store your full card number.
  • Google — sign-in, Gmail, Google Calendar, and Google Contacts if you connect them. Receives the data needed to perform the actions you request (e.g., sending email, importing contacts, syncing events).
  • Microsoft / Outlook — if you connect Outlook Calendar. Receives calendar event data to sync events you request.
  • LinkedIn — if you connect LinkedIn. Receives data to publish posts and find contacts on your behalf.
  • Meta (Facebook Pages / Instagram) — if you connect Facebook Pages or Instagram. Receives data to publish posts on your behalf.
  • Base44 — hosts the Service and provides the database, authentication, and usage analytics. Receives account data and the content you store in the app.
  • AI providers used for transcription and AI features — including OpenAI, Anthropic, and Google. When you record a meeting or use AI features, meeting audio, transcripts, and content you submit for AI processing may be sent to these providers to generate summaries, action items, and drafts.
  • Esri / ArcGIS — provides map tiles for the connections map. Receives your IP address when you view the map.

8. Data Retention & Deletion

We retain your data for as long as you maintain an account. You may request deletion of your data at any time. Deleting your account removes:

  • Profile data, contacts, interactions, tasks, and events
  • Meeting recordings and uploaded files
  • Subscription data, except records Stripe is legally required to retain

When your account is deleted, or after the 30-day grace period following a subscription end, all of your account data is permanently deleted from BubbleLink and can no longer be accessed or recovered through the app.

If your subscription ends and is not renewed, we retain your account data for 30 days, then permanently delete it. Uploaded files such as recordings and photos are removed from your account and are no longer accessible through BubbleLink, but copies may remain in our hosting provider's storage systems or backups. We may keep limited billing and transaction records as required for tax, accounting, and legal purposes.

9. Security

  • Encrypted storage
  • Secure authentication
  • OAuth for third-party integrations
  • Stripe for payment processing
  • Access controls and regular monitoring

10. Your Rights & Choices

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, submit a request via our Privacy / data request page or contact us using the details below.

10.1 California consumers (CCPA / CPRA)

If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), gives you the right to:

  • Know what personal information we collect about you and whether we sell or share it
  • Access and obtain a copy of your personal information
  • Correct inaccurate personal information we maintain about you
  • Delete your personal information, subject to legal exceptions
  • Opt out of the sale or sharing of your personal information for cross-context behavioral advertising
  • Limit the use of sensitive personal information
  • Not be discriminated against for exercising these rights

We do not sell or share your personal information for cross-context behavioral advertising, and we have not done so in the past 12 months. Because we do not sell or share your data, a “Do Not Sell or Share My Personal Information” link is not required; you may still opt out of analytics as described in our Cookie Policy.

You may designate an authorized agent to submit requests on your behalf by providing them written permission and having them contact us at the email below. We may request information to verify your identity before processing a request.

10.2 Other U.S. state rights

If your state grants additional privacy rights (for example, opt-out of targeted advertising or profiling), you may exercise them through the same request process. We do not process your personal information for targeted advertising or sell it to third parties.

10.3 European Union, UK, and EEA residents (GDPR / UK GDPR)

If you are in the European Union, the European Economic Area, or the United Kingdom, you have the following rights under the GDPR and UK GDPR, subject to applicable conditions:

  • Access — request a copy of the personal data we hold about you
  • Rectification — ask us to correct inaccurate or incomplete data
  • Erasure — ask us to delete your data (the “right to be forgotten”), subject to legal exceptions
  • Restriction — ask us to limit how we process your data
  • Data portability — receive your data in a structured, machine-readable format and transmit it to another service
  • Object — object to processing based on legitimate interests or for direct marketing
  • Withdraw consent — where we rely on your consent, you can withdraw it at any time without affecting processing done before the withdrawal
  • Lodge a complaint — with your local supervisory authority (for example, the UK Information Commissioner’s Office or your national data protection authority)

Lawful basis. We process your data under the following lawful bases: (a) contract — to provide the Service you signed up for; (b) consent — for optional features like integrations, analytics, and marketing emails (you can withdraw consent anytime); (c) legitimate interests — to maintain security, prevent fraud, and improve the Service, balanced against your rights and expectations; and (d) legal obligation — to meet record-keeping and tax requirements.

International transfers. Your data may be processed outside the EU/UK (for example, in the United States, where BubbleLink and its hosting and AI providers are based). We rely on recognized safeguards such as the European Commission’s adequacy decisions and Standard Contractual Clauses, and supplementary measures where required, to ensure your data is protected to a standard equivalent to EU/UK law.

Automated decisions. Connection strength scores and AI-generated summaries are automated outputs, not automated decisions with legal or similarly significant effects on you. You can contest an output by editing the underlying data in the app or contacting us.

To exercise any of these rights, use our Privacy / data request page or email us at the address below. We will respond within one month, extendable by two further months where necessary for complex requests.

11. Children's Privacy

BubbleLink is not directed to children and is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children.

12. Information About People Who Aren't Users

BubbleLink users can store information about their own contacts (such as names, emails, phone numbers, and notes). We process that information on the user's behalf to provide the Service and don't use it for any other purpose. If you believe a BubbleLink user has stored your information and want it removed, submit a request at bubblelink.app/privacy-request and we'll review it.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the effective date above when changes are made, and material changes will be communicated to you.
